ITEMORA Pty Ltd is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

ITEMORA Pty Ltd(“ITEMORA”, “we”, “us”, or “our”) operates the QStore IMS software platform and the website at https://itemora.com.au. We are an Australian company.

2. Information we collect

We collect information you provide directly and information generated through your use of our services.

Account information

When you create an account or start a trial, we collect your name, email address, and organisation name.

Billing information

Payment details are processed by Stripe, Inc. We do not store your card number, CVV, or full payment credentials. We retain a record of your subscription status, plan, and transaction history.

Usage data

We collect logs of actions taken within the platform (logins, licence validations, API calls) to ensure service reliability and security. This data does not include the content of your inventory records.

Communications

If you contact us by email or through the contact form, we retain that correspondence.

Technical data

Standard server logs including IP address, browser type, and request timestamps. These are used for security monitoring and are not used for profiling.

3. How we use your information

  • To create and manage your account and licence
  • To process subscription payments via Stripe
  • To send transactional emails (licence keys, receipts, password resets) via Resend
  • To respond to support requests and enquiries
  • To monitor platform security and prevent abuse
  • To comply with legal obligations

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

5. Data storage and security

Your account and subscription data is stored on servers located in Singapore (Hetzner Cloud, AP-Southeast region). As an Australian company, we take reasonable steps to ensure offshore providers handle your data in accordance with the APPs.

QStore IMS operates primarily as an offline application — your operational inventory data (items, loans, personnel records) is stored locally on your device and is not transmitted to our servers. Only account, licence, and billing data is held by ITEMORA.

We use industry-standard security measures including TLS encryption in transit, hashed passwords, RS256 JWT authentication, and restricted access controls.

6. Data retention

We retain your account and billing data for as long as your account is active and for a period of 7 years afterwards to meet financial record-keeping obligations under Australian law. Audit logs are retained for 3 years. You may request earlier deletion (see Section 8).

7. Cookies

The marketing website uses only essential session cookies required for site functionality (e.g. login state on the customer portal). We do not use tracking cookies, advertising cookies, or third-party analytics. No cookie consent banner is required as we do not use non-essential cookies.

8. Your rights

Under the Australian Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Request deletion of your personal information (subject to legal retention obligations)
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe your privacy rights have been breached

9. Changes to this policy

We may update this policy from time to time. Material changes will be notified to active subscribers by email. The effective date at the top of this page will always reflect the current version.
